Job Category: DataZoneJob Description:Responsible for managing payments to 3rd party vendors for international freight, Jones Act providers and logistics services, ensuring accurate and timely payments while adhering to international regulations and contracted payment terms. Involves processing invoices through a 3rd party audit provider, reconciling payments, and resolving discrepancies. This accounts for 45 third party providers.Responsibilities:Act as the in-house Accounts Payable liaison between the 3rd party audit and accounts payable.Ensure Statement of Accounts (SOA) are received every week from each vendor. Review statements and ensure all invoices are accounted for.Provide payment information to service providers for any unpaid invoices.Follow up with providers on missing invoices in 3rd party audit system.Ensure payment terms are adhered.Review SOAs for accuracy and provide feedback on any pending items.Review weekly SOA and provide feedback to carriers on any pending items.Resolve disputes with carriers including following each carrier's dispute process.Work with operations analysts to provide required information for disputes.Provide feedback to management on ongoing issues by carrier including integration issues, missing invoices, and reoccurring discrepancies.Participate in calls with carriers regarding payment issues or invoice discrepancy.Participate in calls with 3rd party audit provider.Review any missing invoices from carriers and request invoices as needed.Improve available data for operations and carriers.Review payment data available and set up systematic way to upload payment data into 3rd party audit system.Review ocean, drayage, and transload costs by carrier/container. Provide analysis by period/quarter of costs. Highlight changes to costs by DC to operations.Ensure invoices are classified each period under the correct department. Review invoice exceptions and reclass to correct departments as needed.Develop relationships with ocean carriers and distribution companies to ensure smooth invoicing operations.Monitor operational performance of third parties and escalate if performance is below expectation.Responsible for reporting.Qualifications:MUST HAVE REQUIREMENTS:Active and valid travel visaREQUIREMENTS:A bachelor's degree (BA, BS) or equivalent in business, business administration, merchandising, or international relations4 + years of experience in Supply Chain, Vendor Relations2 years of accounting or finance experienceEffective verbal, written and interpersonal communication skillsProficient in MS Office applicationsFluent in English/SpanishStrong Analytical and Critical thinkingData entry/analysis, process management, and Information Technology skills are a plusLogistics, Supply Chain, IT/SystemsPeopleSoft, Mainframe and Rocket Shuttle analysis level of expertise.Preferred: Action-oriented.
