- Coordinate and process bi-weekly and monthly payroll, ensuring accuracy and compliance with Mexican labor laws.
- Manage special payrolls such as commission-based payments (twice per year) and annual PTU.
- Prepare and submit employee registration files for HSBC payroll transfers and assign GL codes in Fortia.
- Validate employee RFCs on the SAT platform.
- Administer savings fund accounts, including registrations, terminations, and loan adjustments.
- Maintain and update payroll records for new hires, terminations, bonuses, vacations, and salary changes.
- Collaborate with external payroll vendors (e.g., ADP, Runa) to validate payroll inputs and outputs.
- Ensure correct calculation and reporting of taxes and statutory deductions (IMSS, INFONAVIT, FONACOT, ISR).
- Generate payslips when needed and respond to employee payroll inquiries professionally and promptly.
- Prepare payroll-related journal entries and submit them for accounting review.
- Support audits and reporting requirements from government entities (SAT, IMSS, INFONAVIT).
- Ensure compliance with internal policies and local regulations.
- Reconcile payroll accounts in collaboration with HR and Finance teams.
- Monitor and report monthly vacation accruals and reimburse approved tuition expenses.
- Coordinate with vendors for food and teleworking coupons.
- Maintain confidentiality and contribute to continuous improvement of payroll processes.
- Associate or Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
- Minimum of 6 years of experience in payroll administration in Mexico.
- Strong understanding of Mexican labor law, tax compliance, and social security contributions.
- Experience working with external payroll providers and HRIS systems.
- Proficient in Microsoft Excel and ERP platforms such as SAP, Oracle, or Dynamics.
- Intermediate English and fluent Spanish.
- Ability to prepare and analyze data for tax reporting and payroll audits.
- Solid understanding of payroll policies, procedures, and systems.
- Familiarity with SAT requirements and payroll accounting standards (e.g., IFRS).
- Skilled in maintaining payroll systems and generating ad hoc reports and month-end close tasks.
- Proactive in identifying opportunities for process improvement and automation.
- Strong analytical skills and attention to detail in managing payroll data.
