- Manage and organize the executives’ calendars, ensuring optimal alignment with strategic priorities.
- Communicate executives’ vision and priorities to the organization and relevant stakeholders.
- Build trust and understanding of each executive’s needs to anticipate priorities and recommend workflow or time management improvements.
- Serve as a strategic thought partner, providing ideas, insights, context, and recommendations to inform decision-making.
- Identify and analyze issues, distill relevant information, and deliver concise updates with actionable recommendations.
- Scope, plan, and execute quick-turnaround projects involving cross-functional coordination.
- Design and maintain the operating rhythm for assigned executives, coordinating recurring and ad-hoc meetings.
- Track and follow up on deliverables, deadlines, and meeting action items to ensure timely completion.
- Prepare agendas, materials, and context for leadership and team meetings to maximize outcomes.
- Coordinate executive participation in key organizational events and ensure readiness.
- Build and maintain strong relationships with key internal and external stakeholders.
- Attend key meetings to represent executives and gather insights to enhance support.
- Maintain a relationship map for strategic stakeholder engagement.
- Refine processes and workflows to improve the effectiveness of executives and their teams.
- Foster cohesion and trust across teams to enhance operational efficiency and responsiveness.

- A Bachelor’s degree in Business Management or a related field
- 4+ years of leadership or management experience with a proven track record of influencing organizational change
- Experience supporting high-level executives, including managing commitments and ensuring priorities
- Exceptional written and verbal communication skills in English
- Strong operational expertise, with experience analyzing and presenting large datasets effectively
- Basic understanding of project management principles
- Proficiency in project management tools (i.e. Asana) to track tasks, deadlines, and workflows
- A demonstrated ability to design and implement processes that drive impact and efficiency
- Proficiency in Microsoft Office or Google Suite and comfort learning new software tools
