- Administer the day-to-day Association work.
- Prepare, organize, and distribute annual and other meeting materials, including homeowner and Board member notices and reminders.
- Secure meeting rooms for Association meetings.
- File all Association materials in the homeowner and administrative files electronically.
- Update Board listings as needed.
- Prepare the distribution of Association newsletters, special notices, etc.
- Maintain complete, up-to-date, accurate property files and records in electronic format.
- Maintain a database of Association architectural applications, violations, and hearings.
- Update Association Fact Sheets, Board Lists, New Owner Welcome Packages, and New Board Member Packages.
- Prepare and distribute New Board Member Packages.
- Coordinate the distribution of budgets.
- Manage and update Association websites as needed.
- Maintain and update Association records in Vantaca.
- Prepare correspondence for the CAM.
- Carry out special projects as requested by the CAM.
- Distribute completed Management Reports to the Board of Directors.
- Collaborate with the CAM in preparing an Annual Calendar to include all key meeting dates, and notification dates, for each Association.
- Attend and participate in weekly meetings with the CAM.
- Keep track of, update, and process Association audits and tax returns.

- Around 2 to 3 years of experience with a similar position in the property or community management industry.
- Strong communication skills in writing and speaking in English.
- Tech savvy. Experience using MS office.
- Feels comfortable talking on the phone with American customers.
- Negotiation and de-escalation skills.
- Vantaca is a plus.
